Plain-English summary

We collect only what the interaction requires.

The public website is a business information site. It should begin a safe, high-level conversation, not collect sensitive project, patient or production information.

This page applies to the public website. Client agreements, project security requirements and confidentiality terms may create separate obligations for specific engagements.

Information handling flow from collection to use, protection and review

1. About this policy

Twin Global Solutions Pty Ltd (ABN 37 669 717 328) (Twin Global, we, us or our) respects the privacy of people who visit our website, contact us or do business with us. This policy explains the personal information we may collect, why we use it, who may receive it and how you can ask for access, correction or make a complaint. Where the Privacy Act 1988 (Cth) and the Australian Privacy Principles apply to us, we handle personal information in accordance with those requirements. We also use this policy as our general standard for ordinary business information handling.

2. Personal information we may collect

The information depends on how you interact with us. It may include your name, organisation, position and business contact details; the content of an email, telephone call, meeting or other communication; information needed to prepare a proposal, agreement, invoice or business record; information received through a business introduction, partnership discussion or professional referral; technical information processed by the website host or security services, such as an IP address, browser or device details, request times and pages requested; and other information you choose to provide.

3. Make a high-level enquiry

Do not send health information, identity documents, passwords, production credentials, source code or other sensitive or confidential material in an initial enquiry. We can agree on an appropriate way to exchange further information if the discussion progresses. We do not seek sensitive information through the public website. If we receive it unexpectedly, we will assess whether it is necessary to retain and whether consent or another lawful basis is required.

4. How we collect personal information

We usually collect personal information directly from you when you email or telephone us, meet with us, use an enquiry method published on the website, enter into a business relationship or otherwise communicate with us. We may also receive business contact information from a colleague, adviser, professional contact, public business source or service provider where it is reasonable and lawful to do so.

5. Why we use personal information

We may use personal information to respond to enquiries, arrange discussions, understand a project or partnership requirement, prepare proposals and agreements, manage client and supplier relationships, deliver and support agreed services, operate and protect our website and business systems, meet legal and accounting obligations, respond to lawful requests and protect our rights, people, systems and operations.

6. Client projects

During a client engagement, Twin Global may handle information within a client-controlled environment or on the client's behalf. That information is governed by the relevant agreement, confidentiality terms, project instructions, security requirements and applicable law. This website policy does not replace those project-specific arrangements or authorise Twin Global to use client information for unrelated purposes.

7. Who may receive personal information

Where reasonably necessary, personal information may be available to Twin Global personnel and authorised contractors involved in the relevant enquiry or engagement; approved technology, hosting and communications providers; legal, accounting, insurance, audit and other professional advisers; clients, suppliers or partners where disclosure is necessary and permitted; regulators, courts or law-enforcement bodies where required or authorised by law; and a party involved in a proposed or completed restructure, investment, sale or transfer, subject to appropriate safeguards.

8. Overseas access and disclosure

Authorised personnel and approved service providers may access or process personal information outside Australia where this is needed for an authorised business or project activity. Where the Privacy Act applies to an overseas disclosure, we take the steps required by law. We also use access controls, contractual arrangements and provider review appropriate to the information and service involved.

9. Website data, cookies and automated decisions

The current public website does not use analytics, advertising pixels or non-essential cookies. It does not use automated decision-making or profiling to make decisions that significantly affect website visitors. The website host and approved security services may still process basic server-request information needed to deliver, protect and diagnose the site. If the website later introduces analytics, tracking, embedded services or other non-essential technology, we will review the privacy impact and update the published information before use.

10. Direct marketing

We may follow up about an enquiry or an existing business relationship. Where we send broader commercial electronic messages, we do so where permitted by law, identify the sender and provide a practical way to unsubscribe. You can ask us to stop marketing communications at any time. Necessary service, project, security and administrative messages may still be sent for an active relationship.

11. Security and retention

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. The measures used depend on the information, system and circumstances. No electronic transmission or storage method is completely secure, so please do not send sensitive information through an unsecured initial message. We retain personal information only for as long as reasonably needed for the purpose for which it was collected, an active business relationship, or legal, accounting, insurance, dispute-management and record-keeping requirements.

12. Access and correction

You may ask whether we hold personal information about you, request access to it or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. We may need to verify your identity before responding. In some circumstances, the law permits or requires us to refuse access or correction. Where required, we will explain the reason.

13. Privacy questions and complaints

Contact us if you have a privacy question or believe we have mishandled your personal information. Provide enough detail for us to understand the issue, but do not include unnecessary sensitive information. We will review the matter and respond within a reasonable period. If the Privacy Act applies and you are not satisfied with our response, you may be able to complain to the Office of the Australian Information Commissioner.

14. Third-party websites

Our website may link to services operated by other organisations. Those organisations control their own websites and privacy practices. Review their privacy information before providing personal information to them.

15. Changes to this policy

We may update this policy when our business, website, providers or legal obligations change. The published version will show its effective date and last-updated date.

16. Contact us

Use the contact details published on our Contact page and include Privacy in the subject or opening line of your message. This route may be used for privacy questions, access or correction requests and complaints.
