CRM & customer data

CRM or customer data platform: which problem are you solving?

Separate daily sales and service work from customer profile unification, then decide whether a CRM, a CDP or both are justified.

CRM and CDP decisions start with who uses customer data and for what.

A CRM supports day-to-day work with customers: enquiries, opportunities, activities and service relationships. A customer data platform brings information from multiple sources into profiles that other systems can use for analysis and activation.

The capabilities can overlap, so the buying question is the problem you need to solve. Missing follow-up and inconsistent customer identities are related, but they are not the same requirement.

Identify the work that is breaking down

If staff cannot see who owns an enquiry, what was promised or what needs to happen next, start with the operational process and CRM. A broader customer data platform will not automatically repair an unowned sales pipeline.

If the same customer appears differently across a website, app, store, loyalty system and CRM, investigate identity, source data and permitted use. A CDP may help, provided there is a defined use for the combined information.

The CDP Institute's definition centres on a persistent, unified customer database accessible to other systems. Use that as a capability reference, while checking the actual product's scope and architecture.

Compare the responsibilities

Twin CRM supports operational relationships; PangoCDP supports customer data unification and activation. Their responsibilities need to be agreed where the systems connect.
QuestionCRMCustomer data platform
What work does it support?Sales, service, follow-up and relationship managementCombining customer information for analysis and use across channels
What does a user expect?A task, history, opportunity or service viewA unified profile, segment or data feed
What information is central?Contacts, accounts, activities and operational statusIdentifiers, events, transactions and other permitted customer signals
What needs explicit control?Ownership, permissions and accurate updatesMatching, source lineage, permissions and activation rules

The table describes common responsibilities. Validate the division for the products under consideration rather than assuming every CRM or CDP implements it in the same way.

Establish whether the data can be joined

List identifiers and test matching with real examples. Shared email addresses, changed mobile numbers and accounts representing several people can all make simple rules unreliable.

Agree how an uncertain match is reviewed and how an incorrect merge is corrected. Preserve useful source context so a unified profile does not conceal why two records were linked.

Combining information does not create permission to use it for another purpose. Record the permitted uses and relevant preferences, and test how those constraints reach the tools that receive profiles or audiences.

An illustrative profile connects identifiers, history and preferences. A particular product's matching and permission controls need to be assessed directly.

If both are needed, agree the exchange

For each shared field, decide which system is authoritative. Establish how updates, segments and relevant status reach the other system, including what happens when a connection fails.

Test whether an operational correction can be overwritten by an older source. Check how a changed marketing preference reaches every destination. Set a support owner for unresolved matches and failed activation.

Start with one valuable use, such as a defined service follow-up or a specific audience built from approved sources. Confirm that it works before adding more feeds simply because they are available.

Preserve product ownership and scope

Twin CRM is a Twin-owned product. PangoCDP is owned by ByteTech, with Twin acting as an authorised strategic partner. They serve different needs and may require integration work to support an agreed workflow.

Choose the least complicated arrangement that solves the current problem and can be operated reliably. The customer report definitions guide is a useful next step if disagreement over measures is driving the purchase discussion.
